What is the difference between a shared and a private Pearson Airport shuttle?

A shared shuttle — a hotel courtesy bus or a scheduled airport shuttle — runs a timetable or a loop, loads at a curbside stop, and stops for other passengers on the way. A private shuttle is a vehicle booked for your group alone: an Executive Sprinter for up to fourteen or a Mini Coach for up to thirty-two, met at the terminal by the chauffeur, timed to your flights, and priced as one fixed fare for the whole group rather than per seat.

"Pearson airport shuttle" is searched by two very different people: the solo traveller looking for the free hotel bus, and the organiser trying to move a group. For the first, the hotel's own page and the GTAA shuttle-stop map are the answer, and our airport hotels page explains the strip. For the second, this page is the answer.

The vehicles

Executive Sprinter. A high-roof Mercedes-Benz Sprinter fitted with forward-facing captain's chairs for up to fourteen, standing headroom, a rear luggage compartment that takes fourteen large cases, and climate control front and back. It is the vehicle for a wedding party landing together, a sports team with equipment bags, a conference delegation, a film crew, or two families sharing a Niagara weekend. One Sprinter replaces four sedans: simpler to track, cheaper per seat, and everyone arrives at the same time.

Mini Coach. A 24-to-32-seat executive coach with reclining seats, under-floor luggage bays and a PA system. Conference organisers use it to move delegates from Pearson to a downtown hotel block; tour operators run Niagara day trips from the airport hotels on it; incentive-travel groups use it for the airport-to-resort leg to Muskoka or Blue Mountain. Both vehicles, with capacities, are on the fleet page.

For groups of six or fewer with luggage, the Luxury SUV is usually the right vehicle and is quoted the same way; for groups larger than a coach, we run several vehicles on one reservation.

Guests on different flights

Most groups do not land together. A wedding has relatives arriving from Vancouver at 2 pm, London at 4 and Delhi at 6. We handle it two ways: successive sedans and SUVs meeting each flight and delivering guests as they arrive, or a held Sprinter that waits at one pre-arranged point in the arrivals hall until the last flight lands. Tell us every flight number at booking; the chauffeur tracks all of them, and sixty minutes of waiting are included from each international touchdown (thirty on domestic). The pickup service explains the meeting points at both terminals.

Weddings

Niagara, Muskoka, the vineyards of Prince Edward County and the Toronto hotels all host weddings whose guests land at Pearson over a single weekend. A Sprinter for the bridal party, a coach for the guests from the hotel to the venue and back, sedans for the couple and the parents, and a stretch limousine for the day itself — all on one reservation with one contact. The Niagara route page and the Muskoka page describe the resorts and the roads; the venue's coordinator can send us the schedule directly.

Teams, tournaments and equipment

Hockey bags are the vehicle test. A Sprinter takes fourteen players and fourteen bags; a coach takes a whole roster and its sticks. Tournament organisers in Toronto, Mississauga, Hamilton and the GTA's arenas book the airport leg for visiting teams on one invoice, and school and university programmes use a corporate account with the athletic department's cost centre. Tell us the bag count and the equipment; the engine only offers vehicles that carry it.

Conferences and hotel blocks

The Metro Toronto Convention Centre, the Enercare Centre, the Airport Corporate Centre hotels and the downtown hotel blocks all receive delegates in waves. A standing coach schedule from the terminals to the hotel block on arrival day, and back to the terminals on departure day planned from the check-in cut-offs, is the format; sedans for keynote speakers and sponsors run alongside. Organisers get one contact, one confirmation per vehicle and one invoice with every trip listed. The corporate accounts page describes the reporting.

Crews and rotations

Airline crews, film and television crews on Ontario shoots, mining and energy rotations flying through Pearson — anyone moving the same group on a schedule — book the Sprinter as a standing run: the same vehicle, the same chauffeur where possible, the same pickup point, invoiced monthly.

Departures for groups

The group departure is planned backwards from the check-in cut-off — three hours before an international flight, two before domestic or US pre-clearance — with the drive time for the hour and a margin sized for the group. The coach drops at the departures-level curb of the right terminal, the chauffeur unloads the bay, and the group checks in together. The departures page explains the timing; the terminal finder confirms the terminal.

The fixed fare for a group

The reservation engine quotes the Sprinter or the coach as one fixed fare for the vehicle, the chauffeur, tolls, airport fees, curbside pickup at the terminal and sixty minutes of waiting from touchdown on international arrivals (thirty on domestic). Divide by fourteen or thirty-two and compare with a per-seat shuttle or a fleet of taxis. Gratuity is at your discretion. The flat-rate page explains what fixed means.

Get a fixed fare for your group

Both terminals, every address

Air Canada and Star Alliance use Terminal 1; WestJet, Porter's Pearson flights, Air Transat, Sunwing and most other international carriers use Terminal 3. Every Ontario address is quoted by the engine, the route pages cover the common journeys, and the cross-border page covers groups heading to the United States. The chauffeur watches the Ontario 511 boards and takes the 407 when it is faster, with the toll inside the fare.

What the confirmation contains

Every booking returns an email with the vehicle, the pickup point, the times, every flight number we are tracking, the itinerary and the fare; on the day it is followed by the chauffeur's name and the vehicle plate. Changes are a reply or a call at any hour. Flight changes are free; itinerary and vehicle changes are re-quoted by the engine.

How the private shuttle is priced against the alternatives: a worked example

Twelve wedding guests land at Terminal 3 from Vancouver on a Saturday afternoon with a suitcase each, heading to a Fallsview hotel in Niagara Falls. Three curbside taxis or two rideshare XLs, if available, are three or two separate fares with three or two drivers who do not know each other's routes, and nobody waits if the flight is late. A shared shuttle runs on a timetable to the hotel district with stops. One Executive Sprinter is one fixed fare quoted a month ago, one chauffeur who tracked the flight and waited inside the hall, one luggage bay, and everyone at the hotel together — divided twelve ways it is usually the cheapest per head of the three, and it is the only one that was waiting.

The luggage bay, measured

The Sprinter's rear compartment takes fourteen large suitcases stacked, or ten with carry-ons; the coach's under-floor bays take thirty-two large cases. Hockey bags count as two; ski bags and golf bags lie flat. Tell us the count at booking and, if it exceeds the vehicle, we add a luggage van or a second vehicle on the same reservation rather than discovering the problem at the curb.

Pearson to the ski hills, the wineries and the cottage

Beyond weddings and conferences, the Sprinter runs three seasonal group routes: Blue Mountain and the Collingwood ski hills in winter, the Niagara and Prince Edward County wineries in autumn, and Muskoka's resorts and cottages in summer. Each is quoted as a fixed fare for the vehicle; the Barrie, Niagara and Muskoka route pages give the timing by season.

Accessible group travel

Passengers using wheelchairs or mobility scooters travel with the group when the requirement is noted at booking; the Sprinter and the coach take larger equipment, and the chauffeur assists at both ends. There is no extra charge for the planning.

Booking a group: what we need from you

The vehicle is sized by three numbers — passengers, large bags and carry-ons — and the schedule by the flight numbers. For guests on several flights, a list of names against flight numbers lets the chauffeur match arrivals to the board; for a wedding, the venue's coordinator can send the schedule directly and we build the reservation from it. One contact on your side, one on ours, one confirmation per vehicle, and the itinerary shared with the chauffeur the evening before.

The coach, in more detail

The Mini Coach seats 24 to 32 in reclining, forward-facing seats with a centre aisle, has under-floor luggage bays along both sides, a PA system, climate control and a washroom on the larger vehicles. It boards through a front door with steps, which the chauffeur assists at; passengers who cannot manage steps travel in the Sprinter, which has a lower floor, or in an SUV alongside. Coach pickups at Pearson use the bus lanes at the ground level of each terminal rather than the car curb, and the chauffeur walks to the meeting point inside the hall with the board while the coach waits.

Corporate accounts for recurring groups

Organisations that move groups regularly — sports programmes, schools, conference organisers, crew schedulers — run the Sprinter and the coach on a corporate account with the athletic department's, the event's or the operation's cost centre, and the monthly invoice lists every vehicle, every flight and every fare. Standing schedules are quoted once and stay stable for the account.

What the confirmation contains, in short

The vehicle, the meeting point, every flight number, the itinerary, the fare; the chauffeur's name and plate on the day; changes by reply or call at any hour.

FAQ

Private airport shuttle: questions answered

Can the Sprinter pick up at Billy Bishop, Hamilton or Waterloo as well as Pearson?

Yes. The Sprinter and the coach serve all seven airports on the engine; at Billy Bishop the pickup is at the Eireann Quay pavilion, where a Sprinter fits and a coach does not.

Is there a free shuttle at Pearson Airport?

Hotel courtesy shuttles are free for their guests and load at designated stops outside arrivals; the Terminal Link train between the terminals and the Sheraton Gateway is free. Our service is a private vehicle for your group, quoted as one fixed fare.

How many people fit in your airport shuttle?

The Executive Sprinter carries up to fourteen with luggage; the Mini Coach up to thirty-two with under-floor bays. For larger groups we run several vehicles on one reservation.

Can you meet guests arriving on different flights?

Yes. Either successive sedans meeting each flight, or a Sprinter held at one point in the arrivals hall until the last flight lands. Give us every flight number at booking.

How is a private shuttle priced?

As one fixed fare for the vehicle — chauffeur, tolls, airport fees, curbside pickup and sixty minutes of waiting on international arrivals (thirty on domestic) included — rather than per seat. Divide by the number of passengers to compare.

Do you carry sports equipment and oversized luggage?

Yes. Tell us the bag count and the equipment at booking; the engine only offers vehicles that carry it, and the Sprinter and coach have dedicated luggage bays.

Can a conference book a standing shuttle schedule?

Yes. Arrival-day runs from the terminals to the hotel block and departure-day runs planned from the check-in cut-offs, with sedans for speakers alongside, on one invoice.

Is there a Toronto airport shuttle that goes door to door?

A private Toronto airport shuttle does: one vehicle for your group, from the terminal to the door, with no other stops. Shared Pearson airport shuttles run on a timetable to fixed stops; the comparison above sets out when each makes sense.

Which Toronto Pearson airport shuttles carry groups with equipment?

For teams, crews and wedding parties the private Toronto Pearson airport shuttles are the fourteen-seat Sprinter and the mini coach; the engine offers only the classes that fit the passengers and bags you enter.
