How do I hire a Jet Sprinter or a coach for a group in Toronto?

Send PearsonAirportTransfer.com the dates, times, addresses, head count and luggage, and you receive one fixed, all-in quote with taxes and 20% gratuity included. The choices are a Jet Sprinter with a lounge for up to seven, a 14-seat Executive Sprinter, a minicoach of about 24 to 35 seats, or a 55-seat motorcoach. Group vehicles are priced per itinerary rather than from the hourly card, and the VIPs in the group can ride in sedans or SUVs at our published hourly rates.

Group transport goes wrong in predictable ways: a delegation of twelve split across four taxis at the arrivals curb, a coach that turns up at the wrong convention-centre door, a roadshow that loses forty minutes at every stop because the team is in three cars. The fix is one vehicle sized to the group, one coordinator who knows the whole itinerary, and one price agreed before anyone boards. This page sets out the four group vehicles we supply, what each suits, how quoting works, and how to combine a group vehicle with sedans or SUVs for the people who need to move separately.

Jet Sprinter: a lounge on wheels

The Jet Sprinter is a Mercedes-Benz Sprinter fitted out as a VIP lounge: captain's chairs facing a work table, a screen, Wi-Fi and soft lighting, and room for up to seven passengers. It is the vehicle for people who need to keep talking between appointments. A board flies into Pearson for a two-day site visit; a band travels from the hotel to a soundcheck and then to the stage door; a team's general manager and coaches move between the airport, the practice facility and a sponsor dinner. The table and the screen let a meeting carry on at highway speed, and the cabin is private enough for confidential conversation. The NDA section below explains how we keep it that way.

Executive Sprinter: fourteen seats, one vehicle

The 14-seat Executive Sprinter is a high-roof Mercedes-Benz Sprinter with forward-facing seats, rear climate control, USB charging and a luggage bay at the back. It keeps a group of up to fourteen together: a delegation landing at Pearson on the same flight, a production crew moving between the hotel and the studio lots at Pinewood and Cinespace, a sales team on a day of client visits from Mississauga to Markham, or a wedding party moving between photos, ceremony and reception. Request it through the Sprinter quote form.

Minicoach and motorcoach: when the group is larger

For about 24 to 35 people, a minicoach does what a convoy of Sprinters cannot: everyone on one schedule, luggage under the floor, and a single vehicle to stage at the door. For up to 55, a full motorcoach handles conference shuttles, team travel with equipment, and guest transfers for large weddings. Most coaches have a washroom aboard, which matters on a run to Niagara or Muskoka. Coaches are supplied by licensed, insured partner operators that we coordinate for you, under one quote and one point of contact. Ask through the coach quote form.

Group arrivals at Pearson

Our company was built around Toronto Pearson, and group arrivals are where that pays off. We track the inbound flight, so the vehicle's timing moves with the aircraft. For airport transfers in our cars, the pre-arranged pickup is at the GTAA's pre-arranged area by the terminal door, around Door A at Terminal 1 and Terminal 3; meet and greet inside the arrivals hall, with a chauffeur holding a sign, is a paid add-on that is worth booking for groups so nobody wanders off toward the taxi line. For a large vehicle, your coordinator confirms the exact meeting point and staging arrangement with the group leader before the day, because a coach cannot always wait at the same curb as a sedan.

Some groups arrive privately rather than on a scheduled flight. For a corporate or charter jet landing at one of Pearson's private-aviation terminals, a Jet Sprinter or Executive Sprinter can meet the passengers there; see our private jet and FBO car service for how those arrivals work. When the group is spread across several flights, we can split the arrivals between one large vehicle on the main flight and sedans for the stragglers, so the group is never held at the airport for one late passenger.

Conferences at the Congress Centre, the Convention Centre and Enercare

Toronto's three big exhibition venues each have their own geography, and a shuttle plan has to respect it.

  • Toronto Congress Centre. Close to Pearson in the airport corridor on Dixon Road, which makes it popular for trade shows with exhibitors flying in. Shuttles between the airport-strip hotels and the Toronto Congress Centre are short, so one minicoach looping on a schedule often replaces dozens of taxi trips.
  • Metro Toronto Convention Centre. Downtown on Front Street, beside the CN Tower and Union Station, with buildings on both sides of the street. Downtown curb space is tight, so drop-off points, timings and the walking route from the vehicle to the right building at the Metro Toronto Convention Centre are agreed in advance.
  • Enercare Centre. At Exhibition Place on the lakeshore, home to big consumer and industry shows. Show traffic and events nearby can slow the approach, so the schedule includes margin.

For a multi-day conference we usually propose a loop schedule (hotel to venue every so many minutes at the start and end of the day), a separate vehicle for the speakers and VIPs, and an evening run to the gala dinner. Smaller event transfers are covered on our event limo page.

Roadshows, bands and teams

An investor roadshow is a day of tight appointments, with the deal team, the bankers and the management in the same vehicle, rehearsing the pitch between meetings. A Jet Sprinter or Executive Sprinter keeps everyone together from the first breakfast on Bay Street to the last meeting in the Mississauga airport corridor and the flight home. Touring artists need a vehicle that meets them at the hotel, waits at the stage door and knows the loading docks of the venues around Scotiabank Arena and the Rogers Centre. Visiting sports teams need a coach with room for equipment, plus a Sprinter for the coaching staff. In each case the vehicle is booked against the real schedule: soundcheck times, practice times, meeting slots.

Weddings, Niagara and Muskoka day trips

For weddings, a Sprinter moves the wedding party between the photos, the ceremony and the reception, while a minicoach or motorcoach takes the guests from the hotel and back, so nobody drives after the toasts. The wedding limo page covers the cars for the couple. For leisure groups, a coach to Niagara Falls with stops at the wineries in Niagara-on-the-Lake, or north to the lakes of Muskoka, makes a long day easy; a washroom aboard and luggage space under the floor matter on these runs. Our Niagara Falls tour from Toronto describes the day out in a smaller vehicle.

Cross-border charters

Groups heading to Buffalo, a sports event in the US or a shopping day across the border travel by road from Toronto. Every passenger needs valid travel documents for entry to the United States and for coming back into Canada; the Canada Border Services Agency sets out what is required on the Canadian side. Tell us the nationalities in the group when you ask for a quote, and allow time for the crossing; our cross-border limo service page and the live border wait times on this site help with the planning.

What to send for a quote

The more complete the request, the faster and firmer the quote. Please include:

  1. Dates and times for each movement, including flight numbers for airport pickups and drops.
  2. Addresses for every pickup and drop-off, including hotel names and venue entrances.
  3. The head count and how it might change, plus anyone who needs to travel separately.
  4. Luggage and equipment: suitcases, instruments, display cases, golf bags or sports kit.
  5. Accessibility needs, such as a passenger who uses a wheelchair or needs a lower step.
  6. The itinerary type: one-way transfers, an hourly standby, a full-day charter or a multi-day tour.
  7. Cross-border details, if the trip leaves Canada.
  8. A contact on the day, the person the coordinator and the driver should call.

Send it all through the right form: Jet Sprinter, Executive Sprinter or coach. You get a single fixed, all-in quote; the other terms of the job are set out in the written agreement.

Sedans and SUVs for the VIPs in the group

Not everyone in a group moves together. The chief executive may need to leave a conference early for a flight; a keynote speaker may arrive the night before; the bride's parents may want their own car. For those passengers we supply sedans and SUVs at our published hourly rates: business sedan $155 an hour, SUV Business $185, SUV First $235 and first-class sedan $285, each including 150 km a day, with out-of-town work at +50% plus hotel and the $100 travel allowance. Booking them alongside the group vehicle keeps everyone on the same itinerary and the same invoice. The full rate card is on our 2026 chauffeur cost page, and the cars are shown in the vehicles section below.

Why a single coordinated booking beats a convoy of cars

A group in five separate cars has five arrival times, five drivers to brief, and five chances of a wrong turn. One Jet Sprinter or coach with a coordinated itinerary means one timing, one briefing, and one place to find everyone, while the people who need to break away do so in a car that is part of the same plan. It is usually more efficient too: a vehicle that holds the whole group spends less time at each curb. For recurring group movements, such as a film crew's daily call or a team's season, the monthly chauffeur service can reserve Sprinter hours alongside the sedans, and our corporate accounts bill it all together.

Discretion & NDA

Confidentiality you can file, not just a promise

Any dedicated, long-term or high-profile booking from Pearson or anywhere in the GTA can run under a signed non-disclosure agreement. We already work that way for:

Ministers, officials and their staffConsuls general and visiting delegationsCelebrities and public figuresAthletes, coaches and team staffMusicians, artists and touring crewsExecutives, boards and family offices

Signed before the first address

Send us your non-disclosure agreement or ask for ours; it is signed before a passenger name, a flight number or a hotel reaches dispatch. Every chauffeur and coordinator on the account signs a personal confidentiality undertaking as well.

Only the people who need it

The assigned chauffeur, a named backup and your account coordinator are the only people who can open the itinerary. A code name can stand in for the passenger on the booking, the sign and the invoice.

No photos, no posts, no stories

Chauffeurs never photograph, film, post or repeat anything about a passenger, a route, a hotel or a meeting, during the job or after it. A breach ends that chauffeur's work with us.

Quiet doors at Pearson and in town

Private-aviation terminals, hotel service entrances, loading docks and underground garages are agreed in advance. The cars carry no company markings, and a name board appears only if you ask for one.

Screened before the first job

Criminal-record and driving-record checks before the first assignment and again at renewal, Toronto vehicle-for-hire licensing, and briefings on protocol, defensive driving and high-profile passengers.

Records kept lean

Trip records stay with your account team only as long as the agreement and the law require, and leave it only with your written consent or where the law compels disclosure.

FAQ

Jet Sprinter & coach hire: questions answered

How much does it cost to hire a Jet Sprinter in Toronto?

The Jet Sprinter is priced per itinerary rather than from the hourly rate card, because the cost depends on the hours, the distance and the schedule. Send the dates, addresses and passenger count through the Jet Sprinter quote form and you receive one fixed, all-in quote with taxes and 20% gratuity included.

How many people fit in a Jet Sprinter versus an Executive Sprinter?

The Jet Sprinter seats up to seven in a lounge layout with captain's chairs around a work table. The Executive Sprinter carries fourteen in forward-facing seats with a rear luggage bay. Choose the Jet Sprinter when the group needs to work or meet in transit, and the Executive Sprinter for more seats.

What size coach do I need for my group?

A minicoach of about 24 to 35 seats suits mid-size groups, conference shuttles and wedding guests. A motorcoach of 55 seats handles large conferences and teams with equipment. Allow space for luggage and any growth in the head count, and tell us about equipment, so the quote reflects the right vehicle.

Can a Sprinter or coach pick up a group at Pearson?

Yes. We track the flight and your coordinator confirms the meeting point and staging arrangement with the group leader in advance, because large vehicles cannot always wait at the same curb as sedans. Meet and greet inside the arrivals hall is a paid add-on and is recommended for groups.

Do your coaches have washrooms?

Most of the motorcoaches and many minicoaches supplied through our partner operators have a washroom aboard, which matters on runs to Niagara or Muskoka. If a washroom is essential for your trip, say so in the quote request and we will confirm the specific vehicle before you book.

Can you provide shuttles for a conference at the Toronto Congress Centre?

Yes. A common plan is a minicoach or Sprinter looping between the airport-strip hotels and the venue on a set timetable at the start and end of each day, plus a separate car for speakers and VIPs. Send the dates, hotels and expected numbers for a quote.

Can a coach take our group across the border to the United States?

Yes, cross-border charters by road are available by quote. Every passenger needs valid travel documents for the United States and for returning to Canada, so tell us the nationalities in the group when you ask. Allow extra time for the crossing, especially on weekends and holidays.

Can VIPs in the group travel separately in sedans or SUVs?

Yes, and it is common. Sedans and SUVs run alongside the group vehicle at our published hourly rates: $155 for a business sedan, $185 for an SUV Business, $235 for an SUV First and $285 for a first-class sedan, all-in with 150 km a day included.

What information do you need to quote a group charter?

Dates and times, every pickup and drop-off address, flight numbers, the head count, luggage and equipment, accessibility needs, whether the trip is one-way, hourly or multi-day, any cross-border legs, and a contact for the day. The fuller the request, the faster and firmer the quote.

Who operates the coaches?

Sedans, SUVs and Sprinters are part of our own service. Minicoaches and motorcoaches are supplied by licensed, insured partner operators that we select and coordinate, so you deal with one coordinator and receive one quote and one invoice for the whole movement.
